04What makes a good enquiry

State who you are

Company, country and business type. If you import yourself, say so; if you use a broker, say so.

State your licence or registration

A responsible supplier asks before quoting, because tobacco import is licensed in most markets. If you are still applying, say that; we can discuss the steps, but we cannot ship until you are authorised to import.

Be specific about the product

Say whether you want flavoured shisha tobacco, hookah tobacco, unflavoured base, cut leaf or leaf. If flavoured, list flavours or say "to be agreed". If you do not know the specification, describe what the product must do and ask us to propose one.

06How we price a quotation

A quotation is built from a few components, which is also how you can read any supplier's offer.

Leaf and grade, cut and processing, and the flavour system. Better leaf, finer processing and complex flavours cost more.

The packing

Printed retail packs with warnings cost more than plain bulk packaging. Pack size and labelling for your market affect cost.

The quantity

Larger quantities generally cost less per kilogram, but only if you can sell and store them. We can quote several quantities if you ask.

The shipping term

CIF includes freight and insurance; FOB does not. Compare quotations on the same term.

The destination

Port, route and the document requirements affect cost and lead time.

Payment terms

10Samples, inspection and trial orders

Samples

Ask when you enquire. Whether a sample can be supplied depends on the product and the destination's import rules, and the answer is confirmed in writing. A sample shows what we can make; the written specification protects repeat orders.

Inspection

Trial orders

A small first order is a sensible way to test a supplier. Minimum quantities depend on the product and the packing and are stated in the quotation. Say in your enquiry if you want to start small.

11Payment, currency and validity

Payment terms are agreed in the written quotation. Deposit and balance is common for wholesale and bulk orders; other methods can be discussed depending on the size of the order and the relationship. The quotation states the currency, the amounts and the triggers for payment, and how long the price is valid. Verify any bank details independently before you pay.

12Documents and shipping

13What we cannot do

Being clear about limits saves time.

22Terms used in a quotation, explained

A quotation uses trade shorthand. If any of these is new to you, this list will save a round of questions.

FOB, CFR, CIF and EXW

These are Incoterms, the standard terms that say who pays for what and where risk passes. FOB means the price covers delivery onto the ship at the port of loading. CFR adds the sea freight to your named port. CIF adds insurance as well. EXW means you collect from the supplier's premises. Compare quotations only on the same term. Net and gross weight

Net weight is the tobacco alone. Gross weight includes packaging. Ask which one a price per kilogram refers to, and confirm the net weight per carton, pallet and container.

Lead time

The number of days from written confirmation, and any agreed deposit, to the goods being ready for shipment. It does not include sea transit. See shipping and logistics.

Validity

How long the price stands. Raw material, freight and exchange rates move, so a quotation is valid for a stated period only.

Specification

The written description of what you are buying: cut, moisture, nicotine, sugar, flavour and packing. See the specification sheet guide.

HS code

The customs classification number for the goods. Your broker will confirm the code that applies in your market and ask for it on the invoice. See documentation.

23Why a complete form saves you time

Every question a supplier has to ask adds a day or more to your timeline. A complete enquiry avoids that round trip, and it also protects you: when the quotation is based on your written specification, any later difference is easy to identify and resolve.
